betaForm.solutions® (“we”, “us”, “our”) is a New Zealand business based in Northland. We make and sell engineered products, including the ecosy® electric cargo tricycle and accessory kits. This policy explains what personal information we collect on betaform.solutions, why we collect it, who we share it with, and the rights you have over it.

We are committed to the New Zealand Privacy Act 2020. If you visit us from the European Union, the United Kingdom, or another GDPR-aligned jurisdiction, we also acknowledge and respect the rights you have under the General Data Protection Regulation (GDPR) and equivalent laws — see “Your rights” below.

What we collect, and when

We only collect personal information that you give us, or that is automatically collected as a normal part of running a website.

When you join the ecosy® waitlist

  • The email address you submit
  • The date and time of submission
  • Your IP address and browser user-agent string (recorded by our contact-form software for basic abuse prevention)

When you place an order

  • Your name, delivery address, and billing address
  • Your email address and phone number (if provided)
  • Payment information, processed by our payment provider — we never see or store your full card details
  • Your order history with us

When you visit any page on the site

  • Standard server access logs (held by our hosting provider, one.com): IP address, requested URL, timestamp, user-agent. These exist for security and operational reasons and are not used for marketing.

What we currently do NOT use

At the date of this policy:

  • No Google Analytics, no Meta/Facebook Pixel, no third-party tracking pixels
  • No behaviour-tracking cookies
  • No fingerprinting

We use only the functional cookies that WordPress and WooCommerce need to remember your shopping cart and keep you logged in if you have an account.

If we add analytics or advertising-pixel tools in the future (for example to measure the performance of an ad campaign), we will:

  • Update this policy in advance and update the “last updated” date
  • For visitors in the EU, the UK, and other regions that require it: present a clear cookie-consent banner so you can accept or refuse non-essential cookies before they load
  • Continue to use the minimum amount of data needed for the purpose

How we use your information

  • To send you ecosy® waitlist updates (only if you opted in)
  • To process, fulfil, and support your orders
  • To respond to enquiries you send us
  • To detect and prevent abuse of our forms and site
  • To comply with our legal and tax obligations in New Zealand

We do not sell your information to anyone. We do not share it with advertisers.

Who we share information with

We share only what is needed, and only with the following parties:

  • one.com — our hosting provider (Denmark/EU). Your data sits on their servers because that’s where our website runs.
  • Payment provider (Stripe / your bank’s gateway, configured at the time of payment) — they handle card processing under their own privacy policy.
  • Email infrastructure — outbound transactional email is sent via one.com’s mail servers. Waitlist signups currently reach a Gmail mailbox we use for ecosy® product communication. If we move to a dedicated email list provider in the future, we will name it here.
  • Our internal automation systems — we use workflow automation that we own and operate to process waitlist signups (parse, deduplicate, route notifications). Your information stays inside infrastructure we control.
  • New Zealand authorities — only where we are legally compelled, for example tax records under Inland Revenue requirements.

We will never share your details with anyone else without your explicit consent.

How long we keep it

  • Waitlist emails: until you unsubscribe, or two years of inactivity, whichever is shorter
  • Order records: seven years (NZ tax-record retention requirement)
  • Server access logs: thirty days (one.com’s default rotation)
  • Enquiry emails: until the matter is resolved, then archived for two years

Your rights

Under the New Zealand Privacy Act 2020

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong. Email ecosy2026@betaform.solutions and we will respond within twenty working days.

If you believe we have mishandled your information, you can complain to the Office of the Privacy Commissioner: privacy.org.nz.

Under the GDPR (for EU/UK visitors)

You additionally have the right to:

  • Ask us to erase your personal information (“right to be forgotten”)
  • Ask us to restrict how we use it
  • Receive your information in a portable format
  • Object to how we use it
  • Withdraw your consent at any time

Email ecosy2026@betaform.solutions with your request and we will respond within thirty days.

Security

  • The site runs over HTTPS (TLS) — your data is encrypted in transit.
  • Passwords are stored only as cryptographic hashes; we never see them in plain text.
  • Access to the backend is restricted to named administrators using strong authentication.
  • We update WordPress and its plugins regularly to address known security issues.

No system can be guaranteed secure. If we ever discover a breach affecting your personal information, we will notify you and the Office of the Privacy Commissioner as required by NZ law.

Cookies

We use only functional cookies — the ones needed to make the site work:

  • WordPress session cookies (only relevant if you have an account)
  • WooCommerce cart cookies (so your basket doesn’t empty between pages)
  • Comment cookies (only set if you submit a comment — currently disabled on this site)

These are first-party only and we do not use them for tracking, profiling, or advertising.

Children

This site is not directed at children under sixteen. We do not knowingly collect information from children. If you believe a child has submitted information to us, please contact us so we can delete it.

Changes to this policy

If we change this policy materially, we will update the date at the top and, where appropriate, contact people on our mailing list. The current version is always available at betaform.solutions/privacy-policy/.
